Platform Overview

Navigation, dashboard, and overall workflow

VReinforce is an all-in-one practice management platform for ABA therapy providers. It covers client intake, scheduling, therapy data collection, BCBA supervision, insurance billing, and reporting — all in one browser-based system.

  • The left sidebar is your main navigation — only sections your role can access will appear.
  • The top bar shows notifications, unread messages, and your profile menu.
  • The dashboard home gives a summary of today's activity.
First time logging in? You may be prompted to change your password before accessing the platform.

Register a Clinic

How new organizations sign up and get started

New clinics sign up through the public Book Now page at vreinforce.us/book-now. The sign-up process takes about 5 minutes.

    About YouEnter your first name, last name, email address, and phone number. This becomes the Practice Admin account.

    About Your OrganizationEnter your organization name, team size, expected client volume, and how you heard about VReinforce.

    Choose a Plan & Set Your PasswordSelect a subscription plan, create a secure password, complete the CAPTCHA, then click Pay Now.
  4. 4
    Complete Payment via StripeYou are taken to a secure Stripe payment page. After successful payment, your clinic is activated automatically.
  5. 5
    Welcome Email + Auto LoginA welcome email is sent and you are automatically logged into your new clinic dashboard as Practice Admin.
If your payment does not complete, your clinic remains in Pending status. Contact VReinforce support to activate your clinic.

Who uses VReinforce and what each role can do

Each person is assigned a role that controls what they can see and do. Roles are assigned by the Practice Admin when creating a staff account.

Manages the VReinforce platform — all clinics, plans, and platform settings.

Clinic Admin

Practice Admin

Full access — staff, clients, ABA programs, settings, and billing.

If you cannot see a module in the sidebar, your role may not have access. Contact your Practice Admin to request a permission update under Settings → Roles & Permissions.

Adding Staff

Creating accounts for therapists, BCBAs, and other staff

Staff accounts are created by the Practice Admin from the Staff section in the sidebar.

    Go to Staff → Add NewClick the Add New button on the staff list page.
  2. 2
    Fill in Personal InformationEnter name, email, phone, and date of birth. The email must be unique across the entire platform.
  3. 3
    Assign a RoleSelect the appropriate role (BCBA, Therapist / RBT, Accountant, etc.).
  4. 4
    Set a Temporary PasswordStaff can change it after first login. Passwords need uppercase, lowercase, a number, and a special character.
  5. 5
    Save the AccountThe staff member can now log in using their email and temporary password.
You can archive a staff account to preserve their session history while preventing further logins — without deleting the record.

Adjusting permissions: Go to Settings → Roles & Permissions to customize access module by module, or open a staff profile for per-person overrides.

Adding Clients

Registering a new client and completing their intake profile

Client profiles are the central record for each person receiving therapy — linking to insurance, programs, sessions, documents, and tasks.

    Clients → Add New ClientClick Add New Client from the Clients list.

    Enter DemographicsFull name, date of birth, gender, contact info, emergency contact, address, and preferred language.

    Add Medical InformationPrimary/secondary diagnoses, allergies, medications, and medical history — on the Medical tab.

    Add InsuranceOn the Insurance tab, add payer, policy number, group number, and authorization details.

    Set AvailabilityOn the Availability tab, define time windows when the client is available for sessions.

    Assign an ABA ProgramOnce the profile is complete, go to the ABA section to assign a clinical program.
A client must have an active, approved program before you can schedule ABA therapy sessions.

Goals & Targets Library

The clinic-wide reference library for reusable clinical goals

The Library is the foundation of all ABA clinical work. BCBAs and Admins build it up, and items are reused across client programs. Goals capture the clinical objective; Targets capture the specific measurable behavior and how it is recorded.

Changes in the Library do not retroactively update targets already assigned to client programs — each client program is an independent copy.

Programs & Assignments

Building templates and assigning them to clients

Programs exist at two levels: Templates (reusable clinic-wide blueprints) and Client Programs (independent copies assigned to a specific client).

Creating a Template:

    ABA → Program Templates → Add NewEnter program name, age group, diagnosis, recommended weekly hours, and description.

    Add Goals and TargetsSelect goals from the library and attach targets to each goal.

    Activate the TemplateSet status to Active — only active templates can be assigned to clients.

Assigning to a Client:

Conducting Sessions

Scheduling, running, and submitting ABA therapy sessions

Scheduling: Go to ABA → Sessions → Schedule Session. Select the client's active program, therapist, date, and times. Enable Recurring to generate a series by day of week and date range.

Conducting a session:

    Open the session and click StartStatus changes to In Progress and the data collection screen loads.

    Record data for each targetControls match the recording type automatically — counter for Frequency, timer for Duration, checkbox grid for Interval, trial buttons for Trial, step-by-step for Task Analysis.

    Fill in the SOAP NoteComplete Subjective, Objective, Assessment, Plan, and ABA Note. Click Auto-Generate for a draft based on session data.

    Collect parent/guardian signatureUse the on-screen signature pad.

    Mark complete, then Submit for ReviewThe system checks mandatory session rules. If a rule fails, submit an exception request for BCBA approval.

Once a session is approved by a BCBA, the SOAP note is permanently locked and cannot be edited.

BCBA Review Queue

How supervisors review, approve, and manage submitted sessions

After a therapist submits a session, it enters the BCBA Review Queue at ABA → Sessions → Pending Review.

Bulk signatures: BCBAs can mass-sign multiple sessions at once using the Collect Signatures function.

Session Rules & Exceptions: BCBAs define mandatory rules (minimum duration, SOAP completeness, data entry minimums, etc.). Therapist exception requests appear in the Exceptions tab for BCBA approval or denial.

Setting availability blocks and booking sessions

Therapist Availability: Availability blocks are managed at Schedule → Manage Availability. Each block is Available, On Leave, or On Vacation. Blocks can be single or recurring. All changes are logged.

General Appointments: Created at Appointments → Add New. Select client, therapist, department, date, and time. The system prevents double-booking and past-date scheduling.

ABA therapy sessions are scheduled through ABA → Sessions → Schedule Session — not through the general Appointments module.

Recurring sessions: On the Schedule Session form, enable the Recurring option. Select days of the week and set a start and end date. The system generates all sessions at once and checks for conflicts on each date.

Billing & Insurance

Payers, CPT codes, invoices, and subscription management

Insurance & Authorizations

Payers, CPT codes, and client authorizations

Insurance Payers: Go to Insurance → Payers → Add New to create a payer record. Each client can be linked to one or more payers on their Insurance tab.

CPT Codes & Modifier Rates: Add billing codes at Insurance → CPT Codes. Each code supports multiple modifiers (e.g., HO, GT, U1) with individual dollar rates. A blank modifier is the base rate.

Client Authorization: On each client's Insurance tab, add authorization records with authorization number, service codes, date range, and approved limits.

Invoices & Payments

Creating invoices and recording received payments

Invoices: Create at Account Manager → Invoices → Add New with one or more line items. Invoices can be printed or exported.

Recording Payments: On any invoice, click Record Payment to log a received payment.

Clinic Subscription Billing: Practice Admins manage the clinic's VReinforce subscription at Billing in the sidebar. If a subscription lapses, all staff are redirected to the billing renewal page.

ABA Clinical Reports (ABA → Reports):

  • Goal Status Rollup — counts of targets per status: achieved, in progress, not started.
  • Attendance Summary — session counts per client over a selected date range.
  • Target Progress Graphs — interactive charts per target; chart type matches the recording type automatically.

Appointment Reports: All appointments by therapist, date range, or status.

Financial Reports (Account Manager → Reports): Credit summary and debit summary by period.

Changing brand colors in Settings instantly updates the sidebar, buttons, and all themed elements — no page reload needed.
I can't see a module in the sidebar — what do I do?
Your role may not have permission for that module. Contact your Practice Admin and ask them to grant access under Settings → Roles & Permissions.
Can I schedule a session without assigning a program first?
No. A client must have at least one active, approved client program before ABA sessions can be scheduled.
Why is the Submit button grayed out on my session?
A SOAP note is required before submission. Complete all SOAP note sections and save — the Submit button will become active. Also confirm the session status is Completed, not In Progress.
Can I edit a SOAP note after the BCBA approves a session?
No. SOAP notes are permanently locked on approval to protect clinical record integrity. The BCBA must reject or request a correction before approving if a change is needed.
How do I change my password?
Click your name in the top-right corner and select Change Password. Passwords must be at least 8 characters with uppercase, lowercase, a number, and a special character.
What happens if our clinic's subscription expires?
All staff are redirected to the billing renewal page on their next login. No data is deleted — access is restricted until the subscription is renewed. The Practice Admin can renew from the Billing section.
Can I archive a client instead of deleting them?
Yes. Archiving hides the client from active lists while preserving all session history, insurance, and clinical data. You can unarchive at any time by filtering for archived clients and clicking Unarchive.
Does editing a program template affect existing client programs?
No. When a program is assigned to a client, a fully independent copy is created. Changes to the template after that point will not affect any existing client programs.
How do I change the clinic's brand colors?
Go to Settings in the sidebar. Use the color pickers to set Primary, Secondary, and Tertiary colors. Click Save — the entire platform UI updates immediately.
How do I create a recurring session series?
On the Schedule Session form, enable the Recurring option. Select days of the week and set a start and end date. The system generates all sessions at once and checks for conflicts on each date.
